Teams Meeting Tips Your IT Person Wishes You Already Knew

Click a shared document in the middle of a meeting for a quick look and instead the whole screen jumps into a full Teams-embedded editor, loading, asking to sign in again. Somewhere else, a half-typed chat message vanishes because the channel got switched before it was sent. None of this is exactly a bug — it’s just Teams doing more than most people expected, in ways no one explained.

Small changes in how you use Teams, plus a couple of recent updates from Microsoft, can fix most of this.

Files open where you’d expect now

For a long time, clicking a shared file in Teams meant it opened inside Teams itself, whether that’s what you wanted or not. That’s changed: Microsoft switched the default file-open behaviour so Word, Excel, and PowerPoint files now open in their own desktop or web app instead of inside Teams. No setup required — it already happened. If a file still insists on opening inside Teams for you, that’s a setting worth checking, not something to just live with. Where each kind of file should live in the first place is a separate question, and we’ve covered that too.

Drafts don’t disappear anymore

That vanishing half-typed message used to be one of the more common Teams complaints. Microsoft’s new centralized draft management pulls every unsent message — across every chat and channel — into one place you can get back to later. Switch away mid-sentence and it’s waiting for you, not gone.

Meetings run smoother on older machines

Microsoft rolled out Efficiency Mode for Teams on Windows and Mac this summer — it’s on by default on hardware that needs it, cutting CPU use by up to 30% and memory use by 25% on machines that don’t have much of either to spare. If a laptop keeps freezing or dropping video mid-call, it’s worth checking Settings → General → Efficiency mode before assuming the hardware is done for. If it keeps happening, this is how to tell when a computer is due for replacement.

PowerPoint Live and Excel Live are worth a try now

If your last experience sharing a slide deck or spreadsheet in Teams was clunky, it’s worth a second look — both got real improvements this year, letting people follow along, jump to a specific slide, or scroll a spreadsheet independently instead of everyone being stuck watching the presenter’s screen move.

If you have Copilot, use it for the boring parts

For businesses with Microsoft 365 Copilot licensing, the most useful trick isn’t generating anything — it’s asking Copilot afterward what decisions got made, where people disagreed, or what still needs a follow-up. It’s a faster way to catch what got missed than scrolling back through the transcript.

If your team is still fighting Teams instead of using it, that’s usually a five-minute settings conversation, not a training problem. Book a call with us if you’d like a hand sorting out what’s worth changing.
